WHAT IS 360 DEGREE FEEDBACK?
360 DF is a process that involves collecting feedback anonymously, on critical areas that the individual has to perform in the organization, to be successful in the work (s)he does. This involves collecting feedback from the individuals’ superiors (if any), Peers and Colleagues, Team Members, Internal and even External Customers. While the process involves collecting feedback/information mainly from the organization one is currently employed in, it is also possible to collect feedback from individuals in different organizations the individual has been previously engaged with, provided the incumbent undergoing the process deems fit.
While there is no maximum number of respondents an individual can provide, the minimum number is 8. The larger the number of respondents, the more authentic and accurate will be the report.
All such data collected is presented back to the incumbent in a report format, a sample of which is provided. It is very important to note that this process should not be used to make any organizational decisions except for the development of the individual. The report of the individual should also not be used for promotions, rewards, incentives, transfers, etc.
TYPICAL TERMS USED IN THE 360 DEGREE FEEDBACK PROCESS:
Participant or Assessee:The individual undergoing 360 DF or the individual who is getting feedback from others
Respondents:The various individuals who will be giving feedback to the participant or those who will be filling up the 360 DF feedback form
Peers/Colleagues:Individuals or Counterparts who are at the same level as the participant and belong either to the same function or a different function
Internal Customers:Individuals within the organization to whom the participants work goes as an input (part of a larger process)
External Customers:Individuals who are not from the same organization as the participant, but have a working relationship with the individual e.g. vendors, consultants
360 DEGREE FEEDBACK IMPLEMENTATION-THE PROCESS
- TVRLS sends a mail asking for a list of e-mail IDs comprising all the individuals or respondents from whom feedback is desired.
- The list includes emails of superiors, peers, colleagues, team members/subordinates, internal and external customers.
- A telephonic discussion with the participant may also ensue in case there are queries to be answered.
- System generated invitations are send out to the participants and the respondents with a covering mail explaining that they have been chosen to give anonymous feedback to the participant.
- A link is provided with the instructions, login ID and password. They can use this to fill the survey.
- The survey typically remains active for 25-30 days.
- The participant is also sent the same details for filling his or her self-assessment
- System generated weekly reminders are sent to the respondents who are yet to give feedback.
- The participant also gets a weekly status report updating him/her about how many people have given feedback from the list provided.
- This helps the participant to send personalized emails to the respondents requesting them to submit their feedback.
- Status reports and reminders are sent every week until till the completion of the exercise
- On the closure date communicated, the site becomes inactive and does not accept any more responses.
- Report generation takes place in the backend with TVRLS consultants reviewing the data to ensure everything is in order before sharing the final report with the participant.
- (Optional) TVRLS also provides coaching and counseling services post report generation.
- If the participant needs a detailed analysis of the report along with individual development plans, (s)he can opt for a telephonic discussion with an expert from TVRLS.
- Such sessions focus on explaining what the numerical data suggest and creating development plans for the future based on the participants’ report.
- They help the participant get the best out of the 360 DF report and use it more effectively going forward.
